Common questions for planners, vendors, attendees, volunteers, and admins. Account-specific documentation is shown from the main Help Center after login.
Are planner tools free?
Yes. Planner and attendee tools are intended to be free, including planning, vendor browsing, RSVP, messaging, basic event media workflows, gift registry links, money-gift setup, and volunteer recruiting.
Can vendors use Encalio without paying upfront?
Yes. Vendors can keep a useful free listing, choose a paid package, or process bookings through Encalio. Package level controls visibility, MMS credits, AI imports, automated responses, promotions, and advanced workflow limits.
Can vendors act as planners?
Yes. Vendor accounts can use planner tools for vendor-hosted events, ticketed events, customer lists, event teams, volunteers, scanner setup, guest communications, and event pages.
Are vendor AI imports unlimited?
No. Manual onboarding and the vendor wizard can be used as often as needed. AI/site-social imports are available on paid packages or Processing Through Encalio, with limits by package or admin override.
Can vendors import and export offerings?
Yes. Vendors can use CSV/spreadsheet/text imports, Google Sheets import/export, inventory exports, AI-assisted field mapping, draft review, rollback where available, and unpublished draft creation before publishing.
How do availability blocks work?
Vendors and planners can mark public or private date ranges as unavailable, booked, tentative, limited, or note-only. Blocking dates should not be bookable by planners when availability applies.
Can campaigns send SMS or MMS?
Campaigns support email, SMS, MMS, or app notifications where configured, tested, and allowed by preferences and consent. Users can choose notification preferences; admins can see delivery health and recovery queues.
Will Encalio ask for personal or financial information by email or text?
No. Encalio will never ask for personal or financial information via email or text. Use your Encalio account for account changes, payments, MFA, recovery, and support, and report suspicious messages or links from the support and report forms.
How do ticketed event fees work?
Ticketed events use a flat 10% fee per ticket, inclusive of processing and platform fees, unless an admin-approved event/vendor override applies. Ticket buyers can purchase without creating an account and can save tickets later.
Can attendees recover tickets?
Yes. Attendees can recover tickets with a verified email, open attendee ticket/pass pages, save tickets to an account, and use the event companion when the event enables attendee modules.
How do volunteer opportunities work?
Planners can publish volunteer calls, contact prior local volunteers, review applications, accept or deny applicants, create event-team records, assign tasks, and show unpaid/waiver notices. Volunteers can discover public opportunities and apply.
Can events collect gifts?
Events can show external gift registry links and money-gift instructions for PayPal, Venmo, Cash App, or other links. Internal Stripe cash-gift handling is prepared as a controlled workflow and depends on configured processing.
What login security is available?
Users can use password login, Google SSO where configured, passkeys, authenticator-app MFA with QR code and manual setup key, SMS/email MFA, recovery codes, alternate/recovery emails, account recovery, password aging policy, and admin-assisted credential resets. Admin accounts must use passkey login or authenticator-app MFA unless relaxed dev login is enabled for a trusted non-production QA session.
Where are logs and audits reviewed?
Admins with the right permissions can review secure audit logs, security logs, archived daily log files, support tickets, readiness events, and high-risk action records from the admin menus.

Use Support from the navigation or footer to contact support. Replies stay connected to your ticket and can also be handled by email when configured.
